This policy covers the MyTripTools website and its travel tools. For privacy questions or requests, contact the MyTripTools team at info@mytriptools.com.
Details you provide
When you contact us, we receive your name, email address, message and phone number if you choose to include it. Our contact form sends these details to our support inbox. Please don't send passport scans, passwords, full payment-card details or other documents we don't need.
If you create an account, we process the registration and login information you provide. Account features can store saved countries, cities, tool results, trips, stories and images you choose to upload. Passwords are stored as hashes, rather than readable passwords.
If you choose to subscribe to travel updates, we store your email address, subscription status, signup source and consent version. Contacting support or creating an account does not subscribe you automatically.
Tool inputs and location
Calculators and checkers use the information you enter, such as dates, routes, currencies or a passport country, to produce a result. Some calculations run in your browser; others send inputs to our server or the data service needed for that tool.
Nearby and map features may request your location through your browser. You can decline that permission and use manual search where available. We may also use approximate country or city information supplied by our hosting infrastructure to suggest a starting location. You can change suggestions; they do not establish your citizenship or travel eligibility.
Technical information
Operating the website involves processing connection and request information, such as IP addresses, requested pages, browser details and error events. Security controls may temporarily use a derived identifier to limit repeated requests. Cookies and local browser storage are explained in our Cookie Policy.
Why we use information
- To run the tool or account feature you request, keep your saved information available, and handle account recovery.
- To answer enquiries, investigate reported data issues and improve the parts of the site you tell us about.
- To maintain security, prevent abuse, troubleshoot failures and meet applicable legal obligations.
Where data-protection law requires a legal basis, providing requested account services may rely on performing our agreement with you. Support and security may rely on our legitimate interests in operating a useful, secure service, subject to your rights. We rely on consent when it is required for a particular optional feature, and on legal obligation where a law requires processing.
Sending a contact message does not subscribe you to marketing. Newsletter messages are sent only after an explicit subscription and you can withdraw that choice at any time. The current website does not load advertising or third-party analytics trackers.
We also use aggregate service counters to understand how features such as Ask MyTripTools are used. These counters record categories and totals rather than raw questions, contact messages or visitor identifiers.
Sharing and external providers
Our hosting, email and technical service providers process information needed to operate the site and deliver messages. A tool may also request map tiles, routing, search, weather or other travel data from an external provider. Depending on the integration, the provider receives a request from our server or directly from your browser, which can include your IP address and the location or query needed for that feature.
Source credits and links appear within relevant tools. When you follow an external link, that website's privacy and cookie policies apply. External providers may process information outside your country. Applicable data-transfer protections are required where the law calls for them.
Using a share feature makes the information included in its preview available to people who can access the resulting link. An unlisted link is not the same as a password-protected page. Avoid including private information in public or shared trip notes and images.
We may disclose information where necessary to comply with a lawful request or protect the security and rights of people using the service.
Keeping your data
If you choose “Close my account with recovery storage”, sign-in is disabled and shared items become private. Your account identifiers, password hash, saved visits, planners, walks, notes, uploaded files and saved AI conversations remain stored until you request permanent erasure, so you can restore the same account through your email. This option does not permanently delete your data. Contact us from your registered email if you want permanent erasure instead.
Signed-in Ask AI offers account saving. Saved conversations are private account records available in your travel library and to the site owner or staff with the specific support permissions. Turning account saving off stops future conversations from being saved; it does not erase earlier saved conversations. Anonymous and unsaved conversations are not added to this account history.
Saved account information remains associated with your account until it is removed through an available control or handled through a deletion request. Enquiries remain in the support email system for handling and follow-up. Technical records and backups can remain for operational, security or legal reasons; they may not disappear immediately when an active record is removed.
Newsletter subscription records remain active until you unsubscribe or ask us to remove them. We may retain a limited suppression record where needed to respect an unsubscribe request.
Retention depends on the type of information and the purpose for keeping it. Contact us to ask about a particular record or request its removal. We may need to retain information where a legal obligation or unresolved issue requires it.
Browser-only drafts, preferences and offline copies remain on your device until the feature clears them, they expire where an expiry applies, or you clear site data. Deleting a browser copy does not also delete a saved account record, and the reverse may also apply.
Your choices and rights
You can use many tools without an account, decline browser location permission, choose what to save or share, and clear browser storage. Where available, use account controls to manage your saved information.
Depending on the law that applies to you, you may have rights to access, correct, delete, restrict or receive a portable copy of personal data, and to object to certain processing. Where processing relies on consent, you can withdraw it without affecting processing that was lawful before withdrawal. You can also raise a concern with your local data-protection authority.
To make a request, email us from the address associated with your account where possible. We may need proportionate information to verify that the request relates to you. Do not send identity documents unless we specifically explain why they are needed.
